Job Description
Who we are looking for:

The Office Administrator acts as the face of the company, being the first person to greet guests and direct client, partner, and vendor phone calls. As such, an always pleasant, helpful, and mature demeanor along with the ability to problem solve are essential. This person must be structured, disciplined, and able to handle time-sensitive situations. A sense of urgency is essential. A successful office administrator must have the ability to multi-task and complete a variety of projects quickly without sacrificing accuracy and attention to detail.

How you'll make an impact:

Performs visitor registration duties
Assists with Executive Briefing Center set-up and clean-up
Assists with Opt-In Orientation – room booking, catering, room set-up, and nametags
Assists with internal conference room and day-office reservations for employees
Responsible for conference room set-up, clean-up, and supply stocking
Assists with visitor Wi-Fi set up
Assists with catering for large groups
Maintains and stocks catering kitchen, common areas, and breakrooms
Responsible for supply inventory and placing orders as necessary
Assists in preparing and stocking workstations for new hires
Responsible for taking new hire photos and submitting badge requests
Responsible for reconciling Facilities team credit card and preparing the monthly expense report
Participates as Fire and Safety marshal and assigns marshals to other departments
Schedules AED training as required for designated marshals
Facilitates bi-weekly paper shredding services
Facilitates daily mail pick-up and distribution
Assists with outgoing FedEx and metered mail
Answers and directs calls
Responsible for reporting maintenance issues to property management and follow up
Responsible for posting signage as needed for equipment issues or other notifications
Responsible for handling key log
Participates in arranging outside vendor maintenance and escorts on and off the property
Opening and closing office duties
Performs other duties as assigned

Qualifications

Required:
High school diploma or general education degree (GED)
Associates Degree (A.A.) or equivalent from two-year college or technical school preferred
1 or 2 years of corporate receptionist experience or combined receptionist and administrative experience
Professional appearance and demeanor
Punctuality and time management
Attention to detail and ability to multi-task
Strong organizational skills
Ability to work with minimal supervision
A pro-active approach to situations and follow through on tasks
Ability to work in fast-paced, changing environment
Excellent written and verbal communication skills
Willingness to pitch in on team projects
Ability to work a staggered shift between 7:00 am to 6:00 pm, Monday – Friday
Willingness to perform overtime as needed
Preferred:
Intermediate level MS Outlook, Word, Excel, and PowerPoint required, Visio and Bluebeam
Associates Degree (A.A.) or equivalent from two-year college or technical school
