The Court Clerk I performs routine administrative and clerical duties to support the operations of Municipal Court and provides information and assistance to City staff and the public.

Essential Duties & Responsibilities:


  • Accurate data entry and scans documents associated with each ticket issued by the police department into specialized software
  • Provides accurate information when answering telephone lines and serving customers at the public window
  • Processes, prepares and mails letters to defendants, assessing fines pursuant to fine schedule or plea bargains
  • Organizes and maintains files on tickets issued
  • Inputs and retrieves data and text
  • Types, processes and proofreads a variety of documents from rough draft or verbal instruction
  • Performs a variety of general clerical work including maintaining accurate and detailed logs; recording and verifying the accuracy of information; and researching discrepancies
  • Opens mail and process payments and correspondence on a daily basis
  • Checks in and directs defendants; monitors activity while court is in session
  • Insures proper forms are completed and information is clearly explained to defendants
  • Provides information and forms to the public as needed; follows court policies and procedures in determining completeness of forms and records
  • Works cooperatively to achieve division, department and organization goals,
  • Offers assistance to co-workers with tasks as needed
  • Closes out and balances cash drawer on a daily basis, including recording information needed for financial reports in specialized financial software
  • Obtains copies of police reports and prior records of defendant's from City records and outside electronic databases
  • Sets up and removes forms and equipment in the courtroom.
  • Accepts new work assignments and schedules work hours to meet the needs of the organization
  • Listens to what others have to say and responds appropriately
  • Keeps supervisor apprised of issues and concerns within the organization
  • Accepts constructive input and implements suggestions for improvement
  • Promotes a culture of safety in the workplace and reports safety hazards when observed
  • Creates an inclusive environment by acknowledging the differences, perspectives and ideas of others
  • Performs other duties as assigned
Minimum Qualifications:
High school diploma or GED and one year customer service experience is required. Certification in Court Basics I is required within one year of employment. Must be able to maintain security clearance to CBI/CCIS databases. An equivalent combination of education, training and experience which provides the required knowledge, skills and abilities may be considered.

  • Knowledge of Microsoft Office applications to include Word, Excel and Outlook
  • Knowledge of standard office practices and procedures
  • Knowledge of cash handling procedures
  • Basic knowledge or ability to quickly learn the procedures and terminology pertaining to Municipal Court
  • Excellent organizational and time management skills
  • Strong conflict resolution skills including listening and responding to individuals whom may be angry, argumentative or disagreeable
  • Ability to communicate effectively with individuals of varying social, cultural, economic, professional and educational backgrounds
  • Ability to use independent judgment and discretion to perform tasks
  • Ability to speak to large crowds and assist the Judge in a courtroom setting

  • Computer equipment: Daily use of a personal computer, Microsoft Word and Excel, and specialized software

  • Language skills Reads documents, instructions, and manuals; writes notes and correspondence using proper spelling, grammar, and style; presents information and responds to questions individually and in large groups
  • Mathematical skills: Perform mathematical calculations including fractions, percentages, ratios and proportions.

  • Physical activities: Sits for long periods of time; may walk, stand, bend, stoop, reach, climb, carry and lift for varying periods. Requires continuous and repetitive arm-hand-eye movement
  • Lifting: May lift and carry up to 25 pounds occasionally
  • Vision and hearing: Must have visual acuity to see and read paper and electronic documents; must be able to answer telephones, participate in conversation with others and respond to verbal inquiries
