JOB DESCRIPTION

Title: Education Development Assistant
Supervisor: VP, Education Development
Status: Exempt; Full‐Time

RESPONSIBILITIES INCLUDE:
Program Planning Support:
 Maintains advisory committee assignments within database

Manages scheduling of advisory committee calls, maintains minutes and documents outcomes/action items
 Assists with creation and distribution of speaker requests for proposals for major conferences and other programs when applicable
 Consolidates and standardizes speaker proposals for presentation to advisory committees
 Responsible for continuous research and maintaining calendar of other industry events potentially impacting the success of WIB programs, including: state association events, core provider user meetings, regulatory programs and other bank training programs or conferences
 Works with VP Education Development and SVP Events Management/CAO on scheduling of events
 Makes recommendations to VP Education Development for potential new topics and speakers for WIB programs from industry research findings
 Maintains WIB Certification and Continuing Education programs; coordinates with Events Management team for timely fulfillment of certificates to attendees  Other duties as may be assigned

Educational Webinars
 Coordinates all educational webinars with Webinar Partner
 Participates as moderator and introduction of speakers when needed.
 Reviews and prepares bills for approval and payment.
 Provides information to Marketing Dept to market all educational webinars.
 Coordinates WIB speaker participation in webinars -- including practice runs with Webinar Partner.
 Manages the post webinar follow up process with participants.
 Follows up with speaker handouts and evaluations.
 Tabulates and distributes evaluations for educational webinars.
 In conjunction with Marketing & Webinar Partner, oversees the On Demand content of the website as well as Passport Licenses.

Speaker Coordination:
 Maintains speaker database
 Responsible for speaker confirmations and manages and ensures completeness of speaker information on file for all programs, including: speaker agreements, logistical requirements, contact information, emergency contact information, etc. (i.e. speaker matrix when applicable)
 Ensures speaker deliverables are received on time in accordance with production schedules for all programs, including: bios, headshots, presentations, handouts, etc.
 Manages scheduling of speaker planning calls and documents outcomes/action items
 Manages and reviews speaker expense reimbursement requests and submits to VP Education Development for approval
 Other duties as may be assigned

Publication Management:
 Responsible for article/author aspects of magazine and digital newsletters, including:
 Coordinates with Magazine & Publication Advisory Committee
 In conjunction with VP Education Development, selection and management of external authors and deadlines
 Works with Marketing & Print Company to ensure all deadlines for articles are met

Communications:
 Coordinates with Marketing Department
 Provides marketing department with descriptions of program content and schedule, committee members and key marketing points (including but not limited to target audience, key descriptions, take‐aways, and positioning).
 Responsible for review, editing and final quality control of all external communications including print, digital, web and email communications

Minimum Required Skills and Experience:
o Associate's Degree or equivalent combination of training and experience required
o Minimum of 2 years of experience in administrative support
o Strong organizational skills and attention to detail
o Excellent verbal and written communication skills
o Strong interpersonal skills
o Flexibility and time management skills to ensure that all deadlines are met
o Ability to work well under deadline pressure
o Highly self‐motivated, dependable, self‐sufficient
o Comfortable working alone and with small or large groups
o Strong proficiency with Excel, PowerPoint and Outlook

Desired Skills and Experience:
o Bachelor's degree preferred
o Experience in event‐planning preferred, but not required
o Experience in banking preferred, but not required
